1. Who we are

This website, www.riverdene.co.za, is operated by Riverdene Healthcare (Pty) Ltd (Reg. No. 2014/061913/07) (“Riverdene”, “we”, “us”), a distributor of medical diagnostic and imaging equipment.

We are the “responsible party” under the Protection of Personal Information Act 4 of 2013 (POPIA) for personal information collected through this website. This policy explains what we collect, why, and what your rights are.

2. Information Officer

Our Information Officer is Charles Wilson, reachable at compliance@riverdene.co.za. Send any privacy question, request or complaint there.

3. Please do not send us patient information

This website is for business enquiries. Do not include patient details, health information or any other special personal information (as defined in POPIA) in the contact form or in emails to us. If you need to discuss a clinical case, we will arrange a suitable channel.

4. What we collect and how

Information you give us. When you use our contact form we collect your first and last name, email address, the type of assistance you are requesting, and your message. Providing this is voluntary, but without it we cannot respond to you. We collect it directly from you.

Information collected automatically. Our web server and security tools record technical data such as your IP address, browser type, device, pages visited and the date and time of your visit. We use it to keep the site secure and working, not to identify you personally.

5. Why we use your information

We process personal information only to:

  • respond to your enquiry and follow up on the request you made, including arranging a product demonstration;
  • provide information about our products and services that you have asked for;
  • keep our website secure, stable and free of abuse; and
  • meet our legal and regulatory obligations.

Our grounds under POPIA section 11 are your consent (given when you submit the form), steps needed to respond to you, our legitimate interest in running and securing our business, and legal obligation where it applies.

6. Cookies and third-party content

The site uses cookies that are strictly necessary for it to function. We do not use analytics or advertising cookies. Fonts are hosted on our own server, so your browser does not contact Google Fonts.

The contact page can show a Google Map. It only loads after you click “Accept & Load”. If you accept, Google may collect data such as your IP address, and Google’s own privacy policy applies. If you do not accept, no connection to Google is made. Our LinkedIn link takes you to LinkedIn, which has its own privacy policy.

7. Direct marketing

We do not add you to a mailing list without your consent. If you are an existing customer, we may tell you about similar products or services, and every such message will let you opt out.

8. Who we share information with

We do not sell your personal information. We share it only with service providers who process it on our behalf under written agreements requiring them to keep it secure and use it only for our purposes, namely Domains.co.za (our web hosting and our email provider), Microsoft 365 and Sage.com. We will not pass your enquiry details to our product principals or partners without telling you first, unless the law requires it.

9. Transfers outside South Africa

Our website and e-mail server is hosted in South Africa. Our licensed software solutions and accounting  providers may store or process data outside South Africa, including in the USA or an EU country. We only transfer information where the recipient is bound by law, binding agreement or corporate rules providing protection substantially similar to POPIA, or where you consent, as section 72 of POPIA requires.  We do not transfer your personal information outside South Africa.

10. How long we keep it

We keep enquiry information for 24 months after our last contact with you, or for as long as we have a business relationship or legal duty to keep it, and then delete or de-identify it. Server logs are kept for about 90 days.

11. How we protect it

We use reasonable technical and organisational safeguards, including encrypted (HTTPS) connections, access controls, software updates and backups. If there is a security compromise affecting your personal information, we will notify you and the Information Regulator as POPIA requires.

12. Your rights

You may at any time:

  • ask whether we hold your personal information and request access to it;
  • ask us to correct or delete information that is inaccurate, irrelevant, excessive, out of date, incomplete, misleading or unlawfully obtained;
  • object to our processing of your information, or withdraw consent you gave (this does not affect processing already done);
  • ask not to receive direct marketing; and
  • complain to the Information Regulator.

Email our Information Officer to exercise these rights. We may need to verify your identity first, and we aim to respond within 30 days. Our PAIA manual is available on request.

13. Complaints

If you are unhappy with how we handled your information, please contact our Information Officer first. You may also complain to the Information Regulator (South Africa):

14. Children

This website is not directed at children, and we do not knowingly collect information from anyone under 18.

15. Changes

We may update this policy. The current version is always on this page, with its “last updated” date.
